Your Zapier bill doubled again. Finance asked why. You counted tasks and realized one lead-routing Zap burns thousands of runs a month. Migration to n8n can save money, but a rushed migration breaks production workflows.

Signs you have outgrown Zapier pricing

  • Task count grows linearly with revenue (good for business, bad for Zap bill)
  • You added Filter + Loop steps everywhere to hack complex logic
  • Multiple Zaps duplicate the same trigger (same webhook, three Zaps)
  • You pay for Premium apps mostly to get multi-step Zaps
  • Annual Zapier cost exceeds one month of a developer fixing root architecture

When migration makes sense

  • High volume, relatively stable workflows
  • Data privacy requires self-hosting
  • You need custom code steps regularly
  • Someone on the team can own n8n (or you will hire help)

When to stay on Zapier

  • Low volume, non-technical team, workflows change weekly
  • Migration cost exceeds 12 months of Zapier savings
  • Nobody will maintain self-hosted infrastructure

Migration order that works

  • Inventory all Zaps; tag by volume and business criticality
  • Migrate highest task-count Zaps first (biggest savings)
  • Run n8n in parallel for 2 weeks; compare outputs
  • Cut over one workflow at a time with rollback plan
  • Document OAuth and credential ownership in one password vault

Rule of thumb: if annual Zapier spend is above $3,000–$5,000 and you have stable high-volume workflows, n8n self-hosted often pays back in 6–12 months including setup help.
